Supplier Information

Typical Florida Suppliers that attend are CVBs, Hotels, Resorts, Attractions and Parks. Each appointment is 12 minutes long, with three minutes for "travel time". After you registered and paid, you will receive your login to your Huddle Dashboard, where you can review the profiles of all attending tour operators, wholesalers and media.

The Appointment Requesting Period will open in early January 2026. During that period, you can request your one-on-one appointments. You will not be able to see the requests made by others. Afterwards, all requests will be matched by our AI! Mutual requests first, then requests made by the attending buyers, followed by the Florida suppliers. Once you receive your schedule, you are able to add, reschedule or cancel any of your appointments via your Huddle Dashboard.

  • Is your organization attending both Florida Huddle and Florida Encounter? If so, you receive a 10% discount on both shows!

      • Register for both shows and select "Check Payment". Do not pay by credit card.

      • Send an email to Huddle@VISITFLORIDA.org or Encounter@VISITFLORIDA.org indicating that your organization registered.

      • The VISIT FLORIDA accounting department will send you an invoice for both shows with the 10% discount reflected.

  • We will continue to offer the Bulk Buy option for DMOs and Hotel Management Companies. An email will be send to our DMO and Hotel Management contacts soon.

  • Non-Appointment Taking Badges: By popular demand! All DMOs now have the option to bring a partner (e.g. a hotel) attendee in your booth to sit in on your appointments! You can add one attendee that is not for your organization per 10’ x 10’ booth. For example, your DMO purchases a 10' x 20' for Florida Huddle and can bring two hotel or service partners with you. They will have their own company on their badge.

  • Want to create one area on the tradeshow floor for your hotels or destination? Contact us at Huddle@VISITFLORIDA.org to discuss a hard wall, in-line or island set-up for your destination and hotel partners.

  • Express Booths: we are keeping this entry level presence option at Florida Huddle and Florida Encounter. However, you must not have participated in previous three years in an Express Booth to be able to register. If you have attended in an Express Booth before, please register for a 10' x 10'.

Miscellaneous

  • Visit Florida will do away with the in-person Florida Huddle and Florida Encounter Orientations. Instead, we will do a webinar (pre-recorded and viewable on demand) that covers all the info from these orientations and will be available for you at any time prior to the show.

Do you want to try out Florida Huddle without commiting to a full booth? Florida Huddle and Florida Encounter features an Express Booth option for first-time exhibitors.

  • Can't have exhibited in an Express booth in the last three years. If so, please register for a 10' x 10'.
  • One 6' table with two chairs, one full conference registration and appointment book in the Express Booth area of the tradeshow floor (you will not be placed in your destination's area). The area will be carpeted.
  • Due to limited space, full booth builds will not be possible. 
  • No sharing or additional badges permitted.
